This page will explain concisely how this online system works, how to register, submit abstracts, request accommodation, invoices, etc. (i.e. to participate).

What information should I have available when I register?
You should have the following information at hand (available) when you register:

Personal Information
 - General personal information
 - Contact information
 - Your membership no. with a participating society (if applicable)
    (e.g. SASBCP, APSSA, SANS - without your membership no.  the system will not
     recognise you as a member and you will not qualify for reduced membership rate.)

 - Your Profesional Board registration no. (if applicable)
    (e.g. at the SA Pharmacy Council (SAPC) or Health Professions Council of SA (HPCSA) for CPD purposes).

Registration process
You should find that the online functionalities on this Website are designed to be userfriendly. Briefly, here are the steps involved when you wish to participate in the congress, whether you wish to register, request accommodation booking or submit an abstract:

Step 1
On the menu of the website Homepage, click on [Participate] and then on the [Register] tab. Now, only once with your first access to the system, select the "New Congress Registration" radio-button to create a new profile.
(With future visits you will select the "Update/view my registration/transport/abstract info or make a payment" radio-button and use your congress access key and password to continue, edit and view your information - see below.)

Step 2
Create your profile by filling in the online form with your name, e-mail address and other personal information. Some information descriptors are marked as required fields (red text), and others as optional for congress logistics and statistics. After successful submission of your information you will receive a unique congress access key (e.g. 800-12345, also e-mailed to you).
By using your congress access key + password for identification and to login, you now have a single portal of entry to the congress online system for your participation in the congress activities (i.e. for registration and transportation bookings, abstract submissions, accommodation requests, admin and future references with correspondence).

Step 3
Now you may continue to either register (fill in registration information, congress additional activities you wish to attend), indicate/request accommodation preferences or submit your abstract. You may also login to your profile at any suitable time later to complete these activities, using your unique congress access key + password. Registration and transportation bookings, requests for booking of accommodation and submission of abstracts can be done independently. Payments are not done immediately with registration, but only after approval by the organisers, when you will receive your invoice (see below).

Registration Process

Step 4
The Congress Organisers will now review your registration and transportation bookings, accommodation request or abstract submission. In case of a registration, your profile will indicate that your registration is now "under review" and you cannot edit the information any longer, but can still return and view the status after login (using your congress access key + password). Should you need to make any changes to your profile, registration details, abstract or accommodation booking request at this stage, please contact the Congress Organisers.

Step 5
After approval of your registration or your booking by the Congress Organisers, they will activate this on the system, whereafter you will be able to view your tax invoices and letter of invitation, all available after login using your congress access key + password.
Your invoice number will be linked to your Congress Access Key, where the Key starts with "800-" (e.g. 800-12345), and the invoice no. with "INV-", followed by the same key number slash number (e.g. INV-12345/1) for the 1st invoice issued, "/2" for the 2nd invoice, etc. You will receive separate invoices for registration and accommodation.

Please note!

  • The congress website database with all profiles and Congress Access Keys from previous congresses are deleted before the start of a new congress each year. Therefore, with a new congress every year, you will therefore need to create a new profile to obtain a new Congress Access Key for that congress and you cannot use the Congress Access Key that you uses for the previous congress the previous year.
  • SASBCP members, remember to distinguish your SASBCP membership number (100-###) from your congress access key (800-###).

How to register for the congress
Registration for this congress can be done online only, via this Website. There is no paper-based registration mechanism. First familiarise yourself with the general online procedures (as described under "In general - how it works" above), as well as with the registration packages and associated fee structure. To register for the congress, select [Participate] / [Register] from the top menu. Go to "Register for the Congress". Simply follow the instructions. Complete all the information, submit and specify your payment. After submission of your registration and approval thereof by the Congress Organising Committee, you will receive an invoice, whereafter you may make arrangements for payment. You do not pay immediately at the time of registration of when requesting booking for accommodation.
Payment options typically include (1) secured online payment with credit card, (2) cheque, (3) electronic transfer or (4) direct bank deposit, after receipt of an invoice. More important and detailed information on payment instructions is described elsewhere on this website, as well as on the invoices.

Please note!

  • You must complete at least all indicated required fields, clearly marked with red text. Without completion of these fields, the form will not submit. Other fields are optional and for the statistics and logistics of the congress organisation and reporting, and your time and effort taken to complete these will be greatly appreciated.
  • The system will automatically calculate your registration fee according to your selections of various options. You can view & print your tax invoice from the Website only after you have submitted your registration and have completed all other forms that may contribute to your invoice (e.g. accommodation), and after subsequent approval by the Congress Organisers.

How to submit an abstract(s) for the congress
For instructions on the preparation of an abstract, click here. Abstracts can be submitted online via this Website only. First familiarise yourself with the general information (as described under "In General - How it works" above). To submit a prepared abstract, select [Participate] / [Abstract Submission] / [Upload] from the top menu. Go to "Submit Abstracts". Simply follow the instructions. Complete the information step-by-step and submit (BEFORE THE ABSTRACT SUBMISSION DEADLINE DATE). To submit a second abstract, start with abstract submission from the beginning.

To submit your abstract for participation in any of the Young Scientist Competitions, please refer to the Young Scientist Awards page for more information (entry criteria, correct procedures, etc.). Please note that the online system will only allow participants to indicate that they wish to submit a particular abstract for participation in any of Young Scientist Competitions if the person who submits the abstract (1) is the student and presenter, (2) indicated in his/her profile that he/she is a student and (3) indicated in his/her profile that he/she is a member of the applicable participating society.

How to request assistance with accommodation for the congress
View more information on accommodation options and cost. Now familiarise yourself with the general process for online bookings, as descibed above. On the online form, you will be asked whether you want assistance or wish to arrange for your own accommodation. Simply follow the instructions to request your bookings. Please remember that this is a request for an accommodation booking only, and the organisers will need to correspond with you and confirm any bookings and costs, whereafter you will receive your invoice and be able to make any payments.

How to request assistance with transportation for the congress
View more information on transportation options and cost. Now familiarise yourself with the general process for online bookings, as descibed above. On the online form, you will be asked whether you want to book certain transportation options. Simply follow the instructions to make your bookings. Please remember that this is a request for a booking only, and the organisers will need to correspond with you and confirm any bookings and costs, whereafter you will receive your invoice and be able to make any payments.

What if I submitted and wish to make changes?
Once you have submitted your registration for the congress you cannot make any changes. However, you may request the Congress Organisers to make minor changes to your information on your behalf. Simply log in, using your Congress Access Key, and go to admin, where you will find a link to request changes from the organisers, or request changes via e-mail.
