Invoices, Payment Options, Payment Instructions & Banking Account Details

Invoices

Once you have registered (i.e. (1) created your congress profile (2) indicated and submitted your registration information and (3) indicated and submitted your congress additional activities) your registration will be reviewed by the Congress organisers. Provided that all information is correct, your registration will be accepted, whereafter you will receive an invoice (also retrievable from the website after login using your unique congress reference number and password). Accommodation and Transport to and from the airport are the responsibility of delegates to organise. Contact details for accommodation (and the costs) as well as contact details for the shuttle service have been provided.

Payment Options

Please note that we request all participants to register using the online registration form. As you finalise your registration, you will be asked to specify how you wish to pay, including:

  • Direct secured online payment with credit card
    (Visa or Master)
  • Cheque (to be mailed directly after online registration)
  • Electronic transfer (proof of payment to be sent)
  • Direct deposit (proof of payment to be sent)
  • Other (specify and arrange with organisers)

Payment Instructions

Very Important! With secured online payments after login, your payment will automatically be linked to your profile. However, for electronic transfers or direct deposits, please provide your invoice number as reference in the format of "CC9205 + invoice no." (e.g. CC9205 INV-12345/1 - here it is important to add "CC9205" before your congress access key as reference to your payment, since this payment is into a central university account and this will identify the deposit as for the ICPPS). Also note that your invoice no. is linked to your Congress Access Key and will therefore be able to identify you. Proof of payment should be faxed or e-mailed to the Congress Organisers (+27 31 260 7907 or Maasdyk@ukzn.ac.za).

Registration fees INCLUDE teas and lunches and social functionsWelcoming Dinner, & Gala/Awards Dinner - see below, but EXCLUDE additional workshops (Finding and Evaluating Evidence AND Writing for publication)(). Accommodation fees are also NOT included in the registration fees. Delegates are recommended to book their accommodation through the hotel , with more information available on the Accommodation page. A separate invoice will be issued for accommodation bookings.

  • Member' refers to paid-up members of participating societies, namely SASBCP, APSSA or SANS,
               where   SASBCP = South African Society for Basic and Clinical Pharmacology;
                             APSSA = Academy of Pharmaceutical Sciences;

  • 'Accompanying Person ' implies a person who will accompany a formal delegate. The accompanying person will NOT attend the congress scientific presentations, but will be attending social functions, teas, lunches and dinners.

To register, please follow the top menu on this Website. Click on [Participate] / [Register]. Remember to read the Instructions/Help section before you register, as this will explain how it works and save you time.

How registration packages work - using the online registration form
Several packages are available for registration, as outline in the table above. The registration fee will be determined from your category (i.e. member, non-member, student, emerging country, etc.). When completing the online registration form you will be prompted to select your preferred package from a drop-down menu. Students must note that the system will offer the option to select a student package only if they indicated membership of a society (SAPS, APSSA or SANS) plus ticked the "student" check box in the profile section. Any students (i.e. registered as such at a university) not being a member of a society, should register as a member of one of the societies to qualify for the discounted rate. Also, the system will not allow you to select the discount rate for an emerging country if your country of recidence is not indicated as being from a recognised emerging country in the profile section.

Once you have selected the package of your choice, the system will automatically charge the correct amount for your electronic invoice. For more instructions/help with online registration procedures, click [here].

Additional Activities

Welcoming Cocktail, & Gala/Awards Dinner
All these activities are included in registration fees. Please indicate your interest to attend the respective dinner functions ("additional activities") on the online registration form. Your invoice will reflect only those activities that you have booked and registered for on the online form. If you do not indicate your attendance with registration, you will forfeit attendance of these events.

Accompanying persons programme
The accompanying persons programme (for persons registered on your online form as such) includes teas, lunches and the dinners

Please note!

  • You must indicate if the accompanying person will be joining you for the dinners. Your invoice will reflect the cost of registration of the accompanying person(s), for each person, that you have booked.
  • The package for your accompanying persons (i.e. day or full congress) depends on your registration for either a day package or for the full congress. The system will automatically register your accompanying persons for the package corresponding to your registration.
  • All "activities" should be booked in advance with online registration. If you do not indicate attendance with registration, your accompanying person(s) may unfortunately not be able to attend these events.

Workshops
All these workshops are NOT included in registration fees. If you wish to register for the workshop only, and not for the main congress as well, please select ["Additional workshop only"] category when you register. This in itself does not entail any cost or give any privileges and you now need to visit the additional activities section to book your attendance of the respective workshops on the online registration form. Your invoice will reflect only those "additional activities" that you have booked and registered for on the online form. If you do not indicate your attendance with registration, you will forfeit attendance of these events.

Accommodation & Transportation Fees

Accommodation fees are NOT included in the registration fees. Delegates are recommended to book their accommodation via the website, with more information available on the Accommodation page. A separate invoice will be issued for accommodation bookings.

All transportation options (e.g. between the aiport and the Congress Venue) are excluded. Transportation options and fees (transfers from airport and car hire) can be viewed on the Transport page.

Cancellation fees

The deadline for early bird registration is 15 June 2011 and abstract submission deadline is 15 May 2011. If your abstract is not accepted, you may apply for a refund of your registration fee. This does, however, not apply when your preference of presentation (i.e. podium or poster) was not accommodated.

  • Between 60 – 31 days prior to arrival: a charge of   25% of the total value will be levied.
  • Between 30 – 15 days prior to arrival: a charge of   50% of the total value will be levied.
  • Between 14 –   0 days prior to arrival: a charge of 100% of the total value will be levied.

Special Dietary Requirements

Please indicate your need for special dietary requirements (including food allergies) on the online registration form. Certain requirements may entail additional cost. Organisers needs to know about your requirements in advance to make arrangements. Also remember to notify your accommodation reception of any dietary requirements in advance if you do not make use of congress accommodation.
